About the Role

Broll Property Group is seeking a Property Administrator to assist in managing properties within the Pretoria portfolio. The ideal candidate will be responsible for supporting property operations, ensuring maximum income generation, handling collections, and maintaining excellent tenant relationships. This role requires strong administrative and communication skills, as well as the ability to manage multiple priorities effectively.


Key Responsibilities

Property Management and Collections

  • Assist in managing assigned properties to ensure profitability and tenant satisfaction.
  • Handle collections, ensuring all rent and related payments are made timeously.
  • Follow up with tenants regarding arrears via phone, email, and written correspondence.
  • Implement company-approved collection methods and ensure legal compliance.
  • Liaise with tenants on rental queries, short payments, and other account-related matters.
  • Manage legal recovery processes and recommend write-offs when necessary.

Administration and Reporting

  • Prepare and reconcile monthly rent rolls and reports.
  • Maintain accurate tenant payment and arrears records.
  • Ensure timely issuance of rent and fee statements.
  • Generate detailed debtors’ reports, arrears summaries, and attorney updates.
  • Handle journal entries, daily receipting, and account corrections.
  • Support the bookkeeping and accounting teams with reconciliations and queries.

Client Relations

  • Maintain professional communication with tenants and external partners.
  • Handle inquiries courteously and provide solutions to tenant concerns.
  • Ensure confidentiality and uphold the company’s professional image.

Team Coordination

  • Assist colleagues and management as needed.
  • Attend meetings and provide updates on property and collections activities.
  • Maintain effective communication within the team and with management.

Performance Expectations

  • Maintain low delinquency ratios through effective collections.
  • Deliver accurate and timely financial and management reports.
  • Uphold strong tenant relationships and ensure professional service delivery.
  • Support smooth property administration and operational efficiency.

Qualifications and Requirements

  • Education: Matric with Bookkeeping qualification.
  • Experience: Minimum of 3 years in a similar role; experience in the property sector is advantageous.
  • Transport: Own reliable transport required.

Knowledge & Skills:

  • Understanding of property management and collections procedures.
  • Strong organizational and administrative skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in MS Office and property management systems.
  • Familiarity with default and enforcement clauses.
