About the Role
Vodacom, certified as the Number 1 Top Employer in South Africa (2025), is seeking an experienced Executive Assistant to manage business administration and project support functions for three Managing Executives. The role requires a highly organized, proactive professional who can serve as the primary point of contact for the office and ensure smooth operational efficiency.
Key Responsibilities
Administrative Support
- Manage real-time email prioritization, message handling, and call screening.
- Coordinate calendars, schedule meetings, and handle guest reception.
- Prepare, proofread, and edit documents for executive signatures.
- Ensure executives are fully prepared for meetings.
- Maintain office systems, data management, and filing structures.
- Record and distribute accurate meeting minutes.
- Compile and consolidate documentation for board and audit submissions.
- Draft and complete executive reports requiring cross-departmental input.
- Provide administrative support to the Managing Executives’ direct reports.
Budget and Expense Management
- Administer OPEX and CAPEX budgets for the Managing Executives’ cost centres.
- Verify and prepare expenditure documentation in line with company policies.
- Manage invoices, receipts, and reconciliation processes.
- Process expense reports and budget transfers promptly.
Travel Management
- Coordinate all local and international travel arrangements.
- Prepare detailed itineraries and oversee logistics including visas, flights, accommodation, transport, and Forex.
Event Management
- Plan and execute internal and external events, conferences, workshops, and seminars.
- Handle all event logistics for the Managing Executives’ office and cost centre.
Project Management
- Conduct research and support on-demand project coordination.
- Collaborate with project teams and monitor deliverables.
Staff Wellbeing & Safety
- Promote a supportive and healthy work environment within the Finance Department.
Qualifications & Experience
- Matric essential.
- Secretarial Certificate/Diploma required.
- Project Management qualification advantageous.
- 5–8 years secretarial experience, including:
- Minimum 3 years as Executive PA supporting an Executive Director in a listed company.
- Minimum 3 years experience in a business unit-related environment.
- Proven project management experience.
Core Competencies, Knowledge & Skills
- Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint, Project).
- Knowledge of office management and administrative processes.
- Exposure to IT/Telecommunications environment (advantageous).
- Experience in financial administration and SAP EVO (preferred).
- Strong organizational, communication, and interpersonal skills.
- High attention to detail and discretion in handling confidential information.
- Ability to work under pressure, multitask, and meet tight deadlines.
- Proactive, self-motivated, and results-oriented.
- Excellent problem-solving and conflict resolution skills.
- Ability to work collaboratively with the Finance Director and Managing Director offices.
