More Than Administration: The Role of a Digital Enabler

This role is a step above traditional administrative support. We need a proactive, tech-forward individual who is ready to leverage the power of digital tools, automation, and AI to streamline operations, enhance communication, and drive data-driven decision-making across our Commercial Sales division.

Key Tasks & Responsibilities:

1. Sales & Commercial Team Support

• Presentation Power: Assist in preparing high-impact presentations and sales materials using tools like PowerPoint or Canva.
• Data Visualization: Create and maintain dynamic dashboards to track sales performance, critical KPIs, and market trends.
• Automation Champion: Support the team by implementing automation for repetitive tasks using tools like Power Automate, Excel macros, or AI assistants.
• Insight Collaboration: Collaborate with cross-functional teams to gather the necessary data and insights for strategic reporting and planning.

2. Executive Support

• Complex Coordination: Expertly manage complex calendars, schedule meetings, and coordinate appointments efficiently across multiple time zones.
• Travel Management: Organize comprehensive domestic and international travel arrangements, including detailed itineraries, accommodations, and expense reporting.
• Meeting Mastery: Prepare effective meeting agendas, accurately take minutes, and meticulously follow up on action items to ensure closure.
• Discretion: Handle sensitive and confidential information with the utmost discretion and professionalism.

3. Digital & AI Enablement

• Future-Focused: Actively utilize AI tools to summarize long reports, generate key insights, and optimize team workflows.
• System Management: Maintain and improve our digital filing systems and shared workspaces (e.g., SharePoint, Teams).
• Continuous Improvement: Stay updated on emerging digital tools and proactively recommend solutions to maximize team efficiency.

What You Need to Bring to Bayer

We are looking for a candidate who is not just proficient, but passionate about using technology to achieve business goals.

• Experience: Proven experience as an Executive Assistant or similar role, preferably within a commercial or sales environment.
• System Proficiency: Strong proficiency in the Microsoft Office Suite (Excel, PowerPoint, Outlook) and collaboration platforms (Teams, SharePoint).
• Tech Skills (Essential): Experience with dashboard creation tools (e.g., Power BI, Tableau) and automation platforms (e.g., Power Automate). Familiarity with AI tools and digital productivity solutions.
• Soft Skills: Excellent organizational, communication, and interpersonal skills. The ability to work independently, prioritize tasks, and manage multiple deadlines with high attention to detail.
