Job Summary

The Admin Clerk – Wills Control Centre will ensure all administrative activities and duties are completed in full compliance with regulatory requirements, the Enterprise-Wide Risk Management Framework, and internal Absa policies and standards. The role also involves identifying, managing, and reporting risks or incidents relevant to the position.

Key Responsibilities

1. Data Capturing

  • Accurately capture new and revised wills received from clients or DSV into the Absa Trust System, either by creating new customer records or updating existing ones.
  • Record cancellation requests received from clients or the National Deceased Estates Department to remove customer records.
  • Transfer old customer records from the Magic database (legacy system) to the new Wills Filing System.
  • Conduct identity checks on both systems to detect multiple wills for the same customer and merge duplicate records when necessary.

2. Preparation of Letters

  • Draft standard letters confirming will cancellations or other related updates.
  • Send automated client correspondence confirming actions taken on their wills.
  • Contact clients via SMS or email to request additional details (e.g., joint will cancellation requirements).
  • Prepare letters to Absa Trust Deceased Estate Branches or the Master of the High Court when forwarding original wills or reporting deceased estates.

3. Customer Service

  • Respond promptly and professionally to queries via the Wills Safe Custody helpline or Action Line.
  • Liaise with the Master’s Office and attorneys to verify original will dates and determine executor details.

4. Compliance and Risk Management

  • Complete all mandatory compliance and legislative training within specified timeframes.
  • Maintain up-to-date knowledge of the Wills Act and relevant legal requirements.
  • Adhere to policies on Environmental Health and Safety, Information Security, Records Management, Money Laundering, and Sanctions.
  • Ensure full compliance with Absa’s governance and risk standards at all times.

Qualifications & Experience

  • Grade 12 or equivalent NQF qualification (required)
  • Minimum 1 year of experience in an administrative role
  • 1 year of fiduciary experience (preferred)
  • Bachelor’s Degree or Advanced Diploma in Business, Commerce, or Management Studies (advantageous)
