About the Role
The Road Accident Fund (RAF) is seeking an Administrative Assistant to provide day-to-day administrative support to the Medical Management Department. This role ensures smooth office operations, compliance with internal policies, and efficient management of documentation and records.
Key Responsibilities
Compliance Administration
- Maintain up-to-date written documentation for departmental activities
- Ensure compliance with policies and process standards
- Keep abreast of internal standards and business goals to maintain sound internal control
Office Coordination
- Follow up on outstanding matters and ensure timely responses
- Ensure availability of stationery and office resources
- Validate and verify information and documents for accurate capturing
- Maintain systems and registers, check for duplicates, and report accordingly
- Allocate reference numbers and capture related documents accurately
- Assign matters to responsible team members
- Draft and send letters to stakeholders as required
Meeting Support
- Arrange meetings for the department
- Take and distribute minutes according to governance standards
- Track outstanding matters and follow-up actions
- Confirm meetings and manage team diaries
- Schedule appointments with internal and external stakeholders
Document and Records Management
- Administer filing processes in line with the RAF filing plan
- Ensure filing systems are up-to-date and functional
- Retrieve information efficiently as requested
- Maintain confidentiality of all documents and ensure correct delivery
- Acknowledge receipt of documents, allocate file numbers, and record data
Qualifications
- Matric or Grade 12 certificate
Experience
- At least 1 year of experience in an administrative or similar environment
